Privacy Notice

AEA Institute (collectively, the “Company,” “we,” “our,” or “us”) is committed to protecting the privacy and security of personal information. This Privacy Notice explains how we collect, use, store, and protect information when you access our mobile application, website, or related services (collectively, the “Platform”).

II. Who This Privacy Notice Applies To

This Privacy Notice applies to information collected:

  • Through the Platform

  • Through communications between you and the Platform

This Privacy Notice does not apply to third-party websites or services that may be linked to or accessible through the Platform.

By using the Platform, you acknowledge that you have read and understand this Privacy Notice and agree to its terms.

III. Student Data & Educational Use (K–12 Programs)

When the Platform is used by K–12 schools, school districts, or student-athletes as part of an educational program (including the Mental Edge Academy), the following terms apply:

  • Student data is used solely for educational purposes, including program delivery, participation tracking, and performance reporting.

  • Student data is not sold, rented, traded, or used for advertising, marketing, or commercial purposes.

  • AEA does not use student data to build profiles for non-educational purposes.

  • Student data is accessible only to authorized personnel and is shared only with the participating school or as required to support the program.

  • AEA supports requests from schools and parents/guardians to access, correct, or delete student data in accordance with applicable laws.

  • AEA maintains administrative, technical, and physical safeguards designed to protect student data.

  • In the event of a data security incident involving student data, AEA will follow applicable notification requirements and cooperate with the affected school or district.

IV. Age Requirements

For general use of the Platform, users must be at least 18 years old.

However, individuals under the age of 18 may access the Platform under the following circumstances:

  • Participation in a school- or organization-authorized program; or

  • Enrollment by a parent or legal guardian in a family or individual program.

In all cases, AEA does not knowingly collect personal information from minors without appropriate authorization from a school, parent, or legal guardian.

V. Information We Collect

We collect only the information necessary to operate the Platform and deliver services.

This may include:

  • Name

  • Email address

  • Account login information (such as email/username; passwords are encrypted and not accessible to AEA personnel)

  • Program participation data

  • Assessment responses and user-submitted content

  • Device and usage information (such as login activity and interaction with content)

For student users, data collection is limited to what is necessary for educational program delivery and reporting.

VI. How We Use Your Information

We use information to:

  • Provide access to the Platform and its features

  • Deliver educational content and program services

  • Track participation and engagement

  • Generate reports for schools and program administrators

  • Provide account support and respond to inquiries

  • Maintain system performance, security, and reliability

For student users:
Personal information is not used for advertising, marketing, or promotional purposes.

For general (non-student) users:
We may use contact information to provide updates, program information, or promotional communications. Users may opt out of these communications at any time.

We may use aggregated and fully anonymized data (with no personally identifiable information) to:

  • Evaluate program effectiveness

  • Improve services

  • Communicate general program outcomes

VII. Disclosure of Information

We do not sell or share personal information for advertising or marketing purposes.

We may share information only as necessary:

  • With service providers (e.g., hosting, platform tools) solely to deliver the Platform

  • With participating schools or authorized administrators

  • With professional advisors when required (e.g., legal or security support)

  • To comply with applicable laws or legal obligations

All service providers are contractually restricted from using data for advertising, marketing, or resale.

VIII. Technology Platforms Used

We use trusted third-party platforms to deliver our services, including:

  • Kajabi – course delivery and user access

  • Google Workspace (including Google Forms) – assessment collection

  • VideoAsk – optional video-based responses

These providers act solely as service providers and are not permitted to use data for advertising or commercial purposes.

IX. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information.

Access to data is restricted to authorized personnel responsible for:

  • Program delivery

  • Reporting and analytics

  • Technical support

In the event of a data security incident involving student data, AEA Institute will promptly investigate the incident, take appropriate corrective action, and notify affected schools or partners in accordance with applicable laws and contractual requirements.

X. Data Retention and Deletion

We retain personal information only as long as necessary to support program participation and services.

For student data:

  • Schools and/or parents or legal guardians may request access, correction, or deletion of student data

  • Requests will be fulfilled in accordance with applicable laws and school district requirements

XI. Cookies and Usage Data

We may use cookies and similar technologies to:

  • Improve user experience

  • Track platform performance

  • Understand general usage patterns

This data is used in aggregate and does not identify individual users.

XII. Links to Third-Party Sites

The Platform may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties.

XIII. International Users

Information may be processed and stored in the United States. By using the Platform, you consent to such processing.

XIV. Your Rights

Depending on your location, you may have rights to:

  • Access your personal information

  • Request correction of inaccurate data

  • Request deletion of personal data
